Vendor Frequently Asked Questions

We’re excited that you’re interested in joining our market! Below are answers to some of the most common questions vendors have before applying and participating.

How do I apply to become a vendor?

Complete the online Vendor Application for the market you would like to attend. Please provide complete and accurate information about your business, the products or services you offer, and any special setup requirements.

Does submitting an application guarantee me a space?

No. Applications are reviewed before vendors are accepted. Because space may be limited, submitting an application does not guarantee participation.

We also try to maintain a diverse mix of vendors and avoid having too many businesses offering the same or very similar products.

How will I know if I've been accepted?

Approved vendors will receive a confirmation by email along with payment information and additional market details.

Please do not consider your space confirmed until you have received an acceptance notice and completed any required payment.

What is the vendor fee?

Vendor fees vary depending on the event, booth size, and vendor type. The applicable fee will be listed on the registration page or provided with your acceptance information.

When is my vendor fee due?

Payment is generally required after your application has been approved. Your space is not considered reserved until payment has been received.

If payment is not received by the stated deadline, your space may be offered to another vendor.

Are vendor fees refundable?

Vendor fees are generally nonrefundable once your space has been confirmed.

If you are unable to attend, please notify us as early as possible. Depending on the event and how much notice is provided, we may be able to transfer your registration to a future market or issue a credit.

No-shows and last-minute cancellations are generally not eligible for refunds or credits.

What happens if the market is canceled?

Markets are generally held rain or shine unless weather or another condition makes it unsafe to proceed.

If organizers cancel an event, vendors will be notified as soon as possible. Depending on the circumstances, vendor fees may be transferred to a rescheduled or future market.

What size is my vendor space?

Unless otherwise stated, a standard outdoor vendor space is approximately 10' × 10'.

All merchandise, displays, tables, signage, equipment, and other materials must remain within your assigned space.

Additional or oversized spaces may be available for an additional fee and must be requested in advance.

Are tables, chairs, or tents provided?

Unless otherwise stated, vendors are responsible for bringing everything needed for their setup, including:

  • Tent or canopy

  • Tables

  • Chairs

  • Displays and racks

  • Business signage

  • Table coverings

  • Payment equipment

  • Extension cords, if approved and needed

  • Any other materials necessary to operate your booth

Do I need a tent?

For outdoor markets, a 10' × 10' pop-up canopy is strongly recommended and may be required for certain events.

If you use a tent or canopy, proper weights are required on every leg. Stakes may not be permitted depending on the location.

For everyone's safety, vendors with unsecured tents may be asked to remove the tent or discontinue setup until it is properly secured.

Is electricity available?

Electricity may be limited or unavailable depending on the venue.

If you require electricity to operate your business, please indicate this on your application. Electricity should never be assumed to be available unless it has been confirmed by the market.

Is Wi-Fi available?

Wi-Fi is not guaranteed. Vendors should plan to have an independent way to process electronic payments, such as cellular service or a mobile hotspot.

We strongly recommend having a backup payment option.

Can I share my booth with another vendor?

Booth sharing is generally not permitted unless approved in advance.

Each participating business should be disclosed during the application process. Please contact us before registering if you are interested in sharing a space.

Can I request a specific booth location?

You are welcome to make a request, and we will do our best to accommodate it. However, specific booth locations cannot be guaranteed.

Booth assignments are based on space, vendor mix, accessibility, operational needs, and the overall market layout.

What types of vendors are welcome?

Depending on the particular market, vendors may include:

  • Artists and makers

  • Clothing and accessories

  • Jewelry

  • Beauty and wellness products

  • Home goods and décor

  • Specialty foods

  • Bakers and food producers

  • Food trucks and prepared-food vendors

  • Farmers and growers

  • Books and stationery

  • Vintage or curated goods

  • Local businesses

  • Service providers

  • Nonprofits and community organizations

Certain events may have additional restrictions or vendor categories.

Can I sell something that wasn't included on my application?

Please contact us before adding substantially different products or services to your booth.

We curate vendor categories based partly on the products listed in each application, so significant changes should be approved in advance.

Are food and beverage vendors allowed?

Yes, when permitted for the particular event.

Food and beverage vendors are responsible for complying with all applicable state and local health, food safety, licensing, and permitting requirements.

Do food vendors need permits?

Depending on what you prepare or sell, you may need health department approval, a temporary food permit, cottage food documentation, food safety certification, or other licenses.

Vendors are responsible for determining and obtaining the permits required for their business.

Copies of applicable permits may be requested before the event.

Can I cook or prepare food on-site?

Only with prior approval and when permitted by the venue and applicable local regulations.

Vendors using grills, propane, open flames, generators, or other cooking equipment must disclose this during the application process and obtain any required permits or approvals.

Do I need business insurance?

Insurance requirements may vary by event, venue, and type of vendor.

Some vendors may be required to provide proof of general liability insurance and/or a Certificate of Insurance before participating.

Any insurance requirement will be communicated before the event.

Who is responsible for sales tax?

Each vendor is responsible for understanding and complying with applicable federal, state, and local tax requirements, including collecting and reporting sales tax when required.

What time should I arrive?

Vendors will receive load-in and setup instructions before the event.

Please arrive during your designated setup window and allow enough time to completely unload, park your vehicle, and set up before the market opens.

Late arrivals may not be permitted to drive into the vendor area once pedestrian traffic begins.

Can I leave before the market ends?

Generally, no.

For safety and to provide a good experience for customers and fellow vendors, vendors are expected to remain set up for the full advertised market hours.

Early breakdown should only occur with permission from market staff or in an emergency.

Where do vendors park?

Loading, unloading, and vendor parking instructions will be provided before the event.

Please follow the designated traffic and parking instructions so that setup and breakdown can happen safely and efficiently.

Are vendors responsible for their own belongings?

Yes. Vendors are responsible for their merchandise, cash, equipment, displays, and personal property at all times.

The market, organizers, venue, and participating partners are generally not responsible for lost, stolen, or damaged property.

Will my business be promoted?

We love promoting our vendors!

When possible, participating vendors may be featured on our website, social media, email, or other event promotions.

Please provide your correct business name, social media handles, website, logo, and quality photos when requested.

Should I promote the market?

Absolutely! A successful market benefits everyone.

We encourage vendors to share event graphics, tag the market, invite their customers, and let their followers know where they'll be.

Promotional graphics or event information may be provided to approved vendors.

Is the market accessible?

We make every reasonable effort to create a welcoming and accessible market.

If you require an accessibility accommodation or have a setup need related to accessibility, please let us know when applying so we can work with you before the event.

What should I bring on market day?

At minimum, vendors should plan to bring their merchandise, tent and weights if applicable, tables, chairs, signage, displays, payment system, packaging or shopping bags, phone charger or battery pack, water, and anything else needed to comfortably operate their booth for the entire market.

What happens if I don't show up?

Please communicate with us if an emergency prevents you from attending.

Repeated cancellations or a no-call/no-show may affect your ability to participate in future markets.

When will I receive my booth assignment and final instructions?

Final vendor instructions, including setup times, parking information, booth assignments, and other event-day details, are typically sent a few days before the market.

Please make sure the email address and phone number on your application are accurate and check your email as the event approaches.

I still have a question. Who should I contact?

We’re happy to help. Please contact [MARKET EMAIL/CONTACT INFORMATION] with vendor questions.

Due to the volume of vendor applications and communications, please allow up to 72 hours for a response.
